CANCELLATION GUIDELINES
2025 Course Cancellation & Transfer Policy
If you need to cancel or transfer your course, please get in touch with the SAS programs office as soon as possible through karinp@avyschool.org for professional programs and through info@avyschool.org for recreational programs. We require written confirmation of your choice to cancel or transfer your course. Please do not just leave a voicemail, this will not be considered as a course cancellation or transfer.
Recreational Courses
SAS requires a full credit card or cash/check payment to hold your reservation. Cancellations within 1 week of the course start date will not be refunded and cannot be transferred. If you would like to transfer course dates 1 to 3 weeks prior to your original course start date, there will be a $100 transfer fee and no refund for cancellation. A date transfer more than 3 weeks before your original course start date can be done at no extra cost. Cancellations more than 3 weeks before your original course start date may receive a 50% refund. Unfortunately, we cannot give refunds, rain checks or cancellations if passes are closed. Please communicate with our office for extenuating circumstances.
Professional Courses
Cancellations and Transfers (Non-Covid)
Up to 10 Weeks Prior to Course
Payment of course fees in full is required by 10 weeks prior to the course or you will be removed from the program with no refund of any fees paid.
If you wish to transfer between courses you can do so up to 10 weeks in advance of your course and you will be charged a $100 transfer fee.
If you wish to withdraw from the course you can do so up to 10 weeks in advance of the course and a refund will be issued less 15% of the course cost for administrative and purchase processing fees.
Less than 10 Weeks Prior to Course
We cannot offer refunds or course transfers once you are 10 weeks out from the course. At this time the roster has been set and the staff have been committed. SAS highly recommends purchasing trip interruption insurance if you are concerned about the possibility of injury, illness, or your plans changing leading up to the start of your course.
Cancellations and Transfers (Covid)
If you test positive for covid directly before or during the course and could thus infect other participants, you will be asked by SAS staff to not attend the course. In this case your course fees will be transferred to the next course within the same season that has available seats. Refunds will not be issued for missing courses due to Covid infections. If you do not make yourself available for a course within the same year, you will lose your tuition, and we strongly encourage you to purchase travel insurance with “cancel for any reason” to avoid losing your course fees investment. Your course tuition fees will be transferred to the subsequent course of your choosing, less a $100 administrative fee. Courses missed due to active covid infection do not count for course credit into the following season unless they occur in last month of course operations for the season March 5 - April 5, 2025.
Travel Insurance
There are many options for travel insurance. We encourage using the same insurance that the American Mountain Guide Association (AMGA) encourages for their programs.
